Dear Friends of A.K. Smiley Public Library,
Our hearts go out to all our members as Redlands and the world are impacted by closures and social distancing. We can’t know what fears you’re facing right now for yourself and your family but we believe that the library has always been a source of comfort and shelter and we hope to see you all when it opens again.
Prior to the closure, the Friends board of directors had made the decision to expand our board members. In this newsletter we want to tell you about the board in the hope that some of you might consider joining us once the library opens.
All board members meet once a month at the library for approximately two hours. Most members volunteer in the bookstore, the Monday morning book sorting, or at special sales in addition to their board responsibilities. Below is a brief description of board roles and responsibilities.
President: Presides over meetings, interfaces with the library director and the community as needed. The Vice President steps in for the president as required.
Secretary: Takes notes at meetings and prepares the minutes.
Historian: Keeps track of Friends activities and achievements for the year.
Treasurer & Assistant Treasurer: Monitors and documents all the funds the Friends receive or disburse, prepares and signs checks and gives reports of activity at board meetings.
Bookstore Manager: Oversees Monday morning restocking, makes decisions about pricing, book placement and stocking of bookstore materials.
Volunteer Coordinator: Manages volunteer scheduling for the bookstore and special sales and conducts training for bookstore volunteers.
Special Sales Coordinator: Plans the semi-annual and special event sales working with the Volunteer Coordinator. Works with the book sorting team to ensure books and other media are prepared for each sale.
Auction Coordinator: Oversees volunteers who sort and prepare books and other media for the Rare, Classic and Old and other auctions.
Newsletter & Webmaster: Gathers information, prepares and distributes Friends monthly email newsletter. Maintains the Friends website.
Marketing/Publicity/Social Media: Writes and distributes publicity about Friends activities through print and social media. Coordinates and orders Friends collateral.
Membership: Processes new and renewal memberships, works with the Treasurer, prepares membership lists.
Adult Literacy: Works with the Library Adult Literacy staff to organize Literacy events and create fundraising collateral.
Assistants to Coordinators: Provide support and back-up as required for board members assigned to the various functions.
Potential board members will be interviewed by a small committee. Interviews may take place via video conference or in person once the library is open.
Thank you for taking time to read to the end of this email. If you have an interest in joining the board or have questions please email Rebecca McCurdy at firstname.lastname@example.org.
